Studio Office Admin and Operations Manager

Client focused and customer service oriented Office Administration and Operations Manager needed. Award winning Design Studio is looking for a strong organizational Operations Administrator who can be counted on day in and out, keeping everything ticking behind the scenes for our well established company. Detail driven is a must as their primary focus will be to look after the daily operations and administration of the studio including working closely with the Design Manager, Finance Manager and two Partners.

In this role the Office Administration and Operations Manager must be extremely organized as they will be maintaining office documents, policies and procedures, as well as keeping our employee benefits records. This includes maintaining the employee handbook, assembly of onboarding packages, education policies including scheduling educational classes, and employee performance reviews including follow up meetings. They will manage employee contracts and HR information including vacation requests, lieu time, and stat holidays as well as our Health and Safety programs.

A capable professional, they are comfortable multi-tasking coordinating, scheduling, and completing additional personal and business related requests from the partners. Their responsibilities include making business related travel arrangements, booking and coordinating the Partners internal and external meetings, and maintaining multiple Partner’s calendars. They must possess the ability to determine assigned task prioritizing and the flexibility to change priorities as required.

Areas of administrative expertise will need to include POS system navigation, credit card reconciliation, and vendor invoicing within accounting our software. They must also feel comfortable managing the firm’s IT Consultants, troubleshooting, software maintenance and tracking IT equipment licenses.

Successful candidates will have 5+ years providing both operations and administration support to management and executives in a multi-function office, preferable commercial real-estate development, retail or hospitality, design and/or architecture company. They must have some experience in HR. High levels of proficiency in Microsoft Office Suite is also necessary.
