Job Description

Are you a natural storyteller with a passion for design and a knack for turning complex technical content into compelling narratives? We’re looking for a Proposals Specialist to join our dynamic team and lead the creation of strategic, high-impact submissions that win work and elevate our brand.

In this role, you’ll collaborate closely with partners, senior designers, and consultants to craft polished responses to RFPs, RFQs, EOIs, and more—ranging from small-scale interiors to major public-sector projects. If you’re detail-obsessed, deadline-driven, and thrive in a fast-paced environment, we’d love to hear from you.

 What You’ll Do:

  • Lead the full lifecycle of proposal submissions—from interpreting RFP requirements to final delivery.
  • Develop and manage timelines, internal reviews, and production schedules to meet tight deadlines.
  • Collaborate cross-functionally with partners, architects, interior designers, and sub-consultants to gather, refine, and synthesize content.
  • Write and edit project descriptions, team bios, and firm overviews that showcase the depth and quality of our work.
  • Coordinate with external teams, including engineering consultants and cost estimators, to assemble complete and compliant submission packages.
  • Maintain a library of proposal materials, templates, project data, and resumes.
  • Support broader marketing initiatives like award submissions, project photography, presentations, and communications when needed.

 What You Bring:

  • A degree or diploma in Marketing, Communications, Architecture, or a related field.
  • 4–8 years of proposal or marketing experience within an AEC (architecture, engineering, construction) environment.
  • Proven experience crafting winning proposals for public-sector, healthcare, industrial, and commercial projects.
  • Familiarity with Ontario and Canadian procurement frameworks (e.g., BPS, Infrastructure Ontario, municipal RFPs).
  • Outstanding writing and editing skills, with the ability to shape technical content into clear, engaging narratives.
  • Proficiency in Adobe InDesign and the Microsoft Office Suite; knowledge of SharePoint, Trello, or other project management tools is a plus.
  • Strong organizational skills, attention to detail, and the ability to manage competing priorities under tight deadlines.
  • An understanding of architectural workflows and terminology is an asset

 Why Join Us?

You’ll be part of a collaborative, award-winning team that values creativity, strategic thinking, and design excellence. We offer competitive compensation, a supportive and flexible work environment, and the chance to shape how our firm is represented to clients, partners, and the public.
