Job Description

We’re seeking a Studio Operations Manager to oversee the daily operations of a mid-sized interior design studio and support the leadership team in maintaining an organized, efficient, and inspiring work environment.

This role is ideal for someone who thrives in a dynamic, design-driven atmosphere and enjoys wearing many hats — from HR coordination and technology oversight to cultural leadership and administrative management.

What You’ll Do

Studio & Administrative Operations

  • Oversee day-to-day studio operations and administration, ensuring smooth workflow and exceptional organization.

  • Support senior leadership and management with scheduling, coordination, and administrative tasks.

  • Supervise and mentor administrative staff to ensure front-of-house operations reflect professional standards.

  • Coordinate team-building events, office maintenance, and vendor relationships.

  • Partner with marketing and communications teams for in-studio updates and announcements.

Human Resources & Culture

  • Maintain and update employee policies, handbooks, and contracts with external HR/legal support as needed.

  • Coordinate onboarding, performance reviews, and professional development tracking.

  • Manage vacation requests, lieu time, and staff scheduling.

  • Support recruitment efforts, including liaising with recruiters and coordinating interviews.

  • Champion studio culture by fostering a positive, inclusive, and professional environment.

Technology & IT Coordination

  • Liaise with IT consultants to troubleshoot and resolve technical issues.

  • Oversee software licensing, hardware maintenance, and system upgrades.

  • Ensure the studio’s technology infrastructure supports efficient and secure workflows.

Finance & Administration Support

  • Assist with vendor invoice entry, credit card reconciliation, and basic bookkeeping tasks.

  • Coordinate renewals for professional memberships and affiliations.

  • Manage building security systems, access fobs, and office equipment leases.

What You Bring

  • Minimum 5 years of experience in operations and administrative support, ideally within a design, architecture, real estate, or hospitality firm.

  • Post-secondary education or equivalent combination of education and experience.

  • Proven knowledge of HR best practices and the Employment Standards Act.

  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and comfort with modern technology.

  • Strong organizational skills, attention to detail, and the ability to handle multiple priorities.

  • Excellent written and verbal communication skills with a professional, approachable demeanor.

  • A proactive, resourceful attitude — able to anticipate needs and find solutions independently.

Who You Are

You’re detail-driven, people-oriented, and passionate about creating a well-run, positive studio environment. You take pride in supporting creative teams and ensuring the operational side of a busy design studio runs seamlessly. You’re adaptable, tech-savvy, and thrive in a setting where no two days are the same.
