We’re a mid-sized design and architecture firm with studios in multiple locations in Canada, seeking an HR Specialist to help strengthen our people operations, unify our teams, and enhance our internal processes.
This is a hands-on, intermediate-level position suited for someone who enjoys variety, problem-solving, and making meaningful contributions in a collaborative, growing environment.
About the Role
You’ll work closely with firm leadership to support and evolve key people programs across the firm.
Your priorities will include:
Implementing a new HRIS system and ensuring smooth integration with payroll and benefits tools
Finalizing and standardizing the Employee Handbook and policies
Supporting and improving the employee review and development process
Learning and assisting with payroll administration
Building relationships across offices and helping strengthen our “one studio” culture
This role is ideal for someone who’s proactive, organized, and comfortable taking initiative. Someone who can identify gaps, ask smart questions, and recommend improvements.
Key Responsibilities
HR Systems & Processes
Lead the research, selection, and implementation of a new HRIS platform
Maintain accurate, compliant, and confidential employee records
Improve process consistency and documentation across offices
Employee Experience & Development
Support the annual review process and help track employee progress
Collaborate on onboarding, engagement, and internal communication initiatives
Partner with the Knowledge Manager to support learning programs
Payroll & Benefits Support
Assist with payroll administration (Deltek/Ajera)
Coordinate employee benefits and respond to related inquiries
Conduct periodic audits to ensure compliance and accuracy
Culture & Connection
Build strong relationships across studios
Help harmonize processes and promote collaboration between offices
Contribute to People & Culture programs that foster engagement and inclusion.
Qualifications:
3–5 years of HR experience in a generalist, coordinator, or specialist capacity
Experience with or strong interest in HRIS implementation
Exposure to payroll and benefits administration
Experience in architecture, design, or professional services an asset
Excellent communication, organization, and problem-solving skills
Ability to work independently and collaboratively with leadership
Post-secondary education in HR or Business; CHRP/CPHR designation (or in progress) preferred
