Your Role
As a Proposal and Marketing Coordinator, you’ll be a key player in our marketing and business development efforts. You’ll help develop proposals, create marketing materials, and collaborate with senior leadership. We’ll support your growth and provide opportunities to advance in your career.
Responsibilities
- Support the review of proposal requests (RFPs, RFQs, etc.), ensuring compliance and developing proposal structures and content.
- Assist in planning, coordinating, scheduling, and executing activities related to proposal preparation, from initial kick-off to delivery and post-submission follow-up.
- Compile internal intelligence, such as client history, to inform proposal decisions and strategies.
- Compile, edit, and write standard proposal components in adherence to requirements.
- Integrate content from various authors into cohesive, responsive proposal documents.
- Perform quality control on deliverables and materials.
- Coordinate proposal submission activities, including print production and delivery.
- Periodically review, update, and improve proposal templates and team CVs.
- Maintain proposal-related tracking databases.
- Support the preparation and maintenance of marketing tools, including website content, LinkedIn posts, blog entries, brochures, and more.
- Assist in event management activities.
Requirements
- 1-2 years experience in proposal writing for professional services, preferably in engineering, architecture, or a related discipline; OR relevant experience in journalism, graphic design, or content creation for print and web.
- Strong verbal and written communication skills in English.
- Excellent editing/proofreading skills, with a keen eye for uncoordinated content.
- Graphic design skills are an advantage.
- Extremely detail-oriented with strong organizational skills and a passion for problem-solving.
- Proficient in Microsoft Office suite tools and PDF editors (e.g., Adobe, PDF Xchange) for document preparation and management.
- Experience with InDesign or similar document design software (e.g., Canva) and other photo editing/graphic design tools (e.g., Adobe Photoshop, Illustrator) is an advantage.
- Ability to thrive in a deadline-driven environment.
