We are currently seeking a highly skilled and experienced Contract Administrator to join the Toronto office of a global Architecture firm. Responsibilities:
As a Contract Administrator, your primary responsibility will be construction administration within a collaborative team environment. You will play a crucial role in the preparation and review of contract documents, conducting pre-tender document reviews, and preparing tender bid documents. Additionally, you will review received tenders and provide recommendations for contract awards.
As the main liaison between CMs/General Contractors, Client/Owner, and A/E teams during the Construction Phase of Work, effective communication and coordination will be key. You will actively participate in Owner, Architect, and Contractor site meetings, resolving escalated site issues and addressing shop drawing details in trade/consultant breakout construction team meetings.
Your site visits will ensure the quality and design intent of contract documents are maintained. Thorough field site visit reports will be prepared and distributed to the team. Maintaining accurate records, including RFIs, Shop Drawings, CCNs, CDs, SIs, COs, and submittal logs, is vital. Timely response to contractor RFIs and prompt review of contractor shop drawings by the A/E team will be your responsibility.
You will administer site instructions, change directives, change orders, and field review reports. Reviewing and recommending contractor quotations, issuing change orders, and preparing Certificates of Payments for monthly progress payments will be part of your duties. You will also review and process closeout submittals and carry out punch list reports for Substantial Performance.
Regular reporting to the Manager of Contract Administration on job cost control, scheduling issues, and general progress will be expected. Overall, your role as a Contract Administrator will involve actively managing and coordinating construction activities, ensuring compliance with contractual obligations, and contributing to the successful completion of projects while maintaining high standards of quality and client satisfaction.
